Is anyone free on Friday?

Check the schedule. Ask the team.

The follow-up

“Did anyone reply?”

The next step depends on someone remembering.

Who picks this up?

Concept example · sample business and records

One enquiry. A trail of manual work.

A customer asks for a visit. Someone copies the details, checks the diary and chases the person who should reply.

Less copying and chasing. Every request has a next step.

What we deliver

The work behind the change.

Workflow automation moves a request through the agreed steps. API integration lets your tools exchange the information those steps need. We check each connection, define who approves important actions and make failed or incomplete work visible to your team.

What we can measure together

  • Manual touches per completed item
  • Time from arrival to first action
  • Missed, failed or duplicate steps
  1. 01

A checked connection between your tools

Define the trigger, source record and next action. Confirm API access, permissions and provider limits before promising a CRM, spreadsheet, inbox or accounting connection.

  2. 02

Approvals and a way to recover

Keep sensitive actions with the right person. Handle duplicates, missing fields and failed connections, with an owner and a manual fallback for unresolved work.

  3. 03

A workflow your team can operate

Test real examples with the people doing the work. Agree operating notes, alerts, support responsibilities and a measure such as response time or manual updates per request.

From our first conversation to a working change
  1. 01

    Trace one handoff

Identify the trigger, source of truth, next action and owner. Check what each tool allows before promising a connection.

  2. 02

Test the normal and awkward cases

Build a small working flow. Try missing records, duplicates and failed connections as well as the successful path.

  3. 03

Launch with a way to recover

Your team signs off on the behaviour. Agree alerts, manual fallback and the support scope before the workflow goes live.

Before we talk

The useful details.

How do workflow automation and API integration differ?

Integration lets tools exchange data. Automation decides what happens next: create a task, update a record, prepare a reply or request approval. A useful business workflow often needs both, plus a clear way to handle failures.

Can you connect our CRM, spreadsheets, inbox or accounting tools?

Often, but we verify each tool before scoping. Available APIs, account permissions, data formats, usage limits and provider terms determine the options. We explain gaps and alternatives before you commit.

What if one of our tools has no usable API?

We check approved connectors, exports and other supported options. A manual handoff may still be needed. We explain the limits and maintenance effort before recommending a connection; some tools will not support the workflow you want.

Does every automation need AI?

No. Predictable work often needs clear rules and reliable integration. AI can help with unstructured inputs, summaries or draft responses. We use it where the benefit is useful and the output can be checked.

What if an integration stops working?

We agree how failures are detected, who is notified and how work can continue manually. Ongoing monitoring, response times and maintenance are defined in the support scope. Third-party tools can change after launch.

Do we need to replace our existing software?

Not usually as a starting assumption. We inspect what you already have and connect it where practical. If a tool cannot support the workflow, we explain that constraint and compare the alternatives.

What do we agree before starting?

External messages, pricing, payments and other consequential actions follow the approval rules we agree with you. A failed connection must leave an exception someone can see, rather than silently lose the work.
